Code of Conduct for BPF Group Meetings

Purpose

The British Plastics Federation (BPF) is committed to creating a respectful, collaborative, and legally compliant environment for all participants in group meetings. This Code of Conduct outlines the standards of behaviour expected to ensure all meetings are inclusive, efficient, respectful, and compliant with applicable laws.

Scope

This policy applies to all individuals attending BPF group meetings, whether in-person, virtual, or hybrid.

Conduct Expectations

1. Respect for Others

  • Treat all participants with courtesy, dignity, and respect at all times.
  • Value diverse perspectives and contributions.

2. Speaking and Listening

  • Allow others the opportunity to speak without interruption.
  • Speak clearly and concisely, staying on topic.
  • Listen actively and attentively when others are speaking.
  • Refrain from dominating discussions; aim for a balanced dialogue.

3. Responsibility and Professionalism

  • Attend meetings prepared and on time.
  • Behave responsibly and maturely; personal grievances or disputes should not be aired during meetings.
  • Address disagreements constructively and professionally.

4. Inclusivity and Fair Participation

  • Encourage input from all participants, particularly those who may find it harder to contribute.
  • Be mindful of body language and tone, especially in virtual settings where signals can be misinterpreted.

5. Confidentiality

  • Respect the confidentiality of discussions where appropriate or when designated.
  • Do not share sensitive information without express permission.

6. Compliance with Competition Law

  • All discussions must comply with UK competition law.
  • Participants must avoid any discussions that could be deemed anti-competitive, including, but not limited to, discussions about pricing, market sharing, bid rigging, or commercially sensitive information.
  • If unsure whether a topic is appropriate, participants should immediately seek clarification from the meeting Chair or BPF representative.

7. General Compliance

  • All participants are expected to adhere to this Code of Conduct.
  • Breaches will result in appropriate action, including being asked to leave the meeting or, for serious or repeated breaches, further disciplinary measures in line with BPF policies.

8. Recording of the Meeting

  • The BPF do not authorise meeting participants to use any audio, video, transcription, or AI tools to record in-person or virtual BPF meetings.
  • Any BPF members participating in a BPF meeting who are using AI tools/assistants must deactivate the tool and prevent it from calling in, transcribing, recording, or summarising any virtual or in-person meetings organised by BPF.
  • A full report of the meeting will be provided by the BPF after the meeting to all BPF Group members, including any who did not attend the meeting.


Additional Guidance for Meeting Chairs

  • Set a positive tone and remind participants of the Code of Conduct, including competition law obligations, where necessary.
  • Ensure all voices are heard and manage speaking times fairly.
  • Intervene promptly if disruptions or breaches of the Code occur.
  • Will declare any specific & relevant conflicts of interest at the start of each meeting.
